Who we are

What When Where is a UK service for finding community events: car boot sales, markets, fairs, fetes and more. This policy explains what information we hold and why. Questions or requests: hello@whatwhenwhere.co.uk.

What we collect

Browsing needs no account and collects nothing personal. If you create an account we hold your email address and name, managed by our sign-in provider Clerk. If you set a home location we store the town name and a map point you chose, never a street address. If you use Nearby, your device location is used on your device to centre the map and is not stored on our servers. We also keep the events you save and the events you submit, including any photos you upload with a submission.

What we use it for

To run the service: showing events near you, keeping your saved list, pre-centring the map on your home town, and emailing you things you asked for, such as reminders or digests. We do not run ads, we do not sell your data, and we do not track you across other websites or apps.

Who processes it for us

We use a small number of service providers to operate: Clerk (sign-in and accounts), Neon (database hosting), Vercel (website hosting and image storage), Mapbox (maps and place search) and Resend (email delivery). Each receives only what it needs to do its job. Mapbox receives map queries, such as the place names you search, in order to answer them.

How long we keep it

Account data is kept while your account exists. Delete your account and we delete the personal data attached to it. Event listings you submitted may remain, as they are public community information, but they are detached from your identity.

Your rights

Under UK GDPR you can ask for a copy of your data, ask us to correct it, or ask us to delete it. Email hello@whatwhenwhere.co.uk and we will respond within a month. You can also complain to the ICO at ico.org.uk if you think we have handled your data badly.

Children

The service is not directed at children under 13, and we do not knowingly collect their data.

Changes

If this policy changes in a way that matters, we will note the new date at the top of this page.
